Checked 12 October 2026. Statuses, contact routes and rules are from the APS India FAQ, News, leaflet and DigZert leaflet as read on 12 October 2026. The email templates and the order of steps are ProSyllabus advice.
A delayed APS certificate is stressful because the deadline is fixed and APS does not tell you how long is left. Many delays have an ordinary cause you may be able to act on, such as an institution that has not answered APS's verification query. Others are refusals, which follow from rules published by APS India and the other official sources cited below. This guide separates the two, using only what APS India itself publishes, and ends with the message to send your university while you wait.
First, is it actually delayed?
APS India does not publish a processing time. Its FAQ says the time depends on the number of applications and on how quickly schools, boards and universities answer verification queries, and that APS cannot give a fixed time for every case. The "one month" you may have read comes from a 2022 APS notice, and even then it counted from the day APS physically opened the packet, not from delivery.
So a file that has been with APS for five or six weeks in a busy season is not necessarily stuck. Before you do anything, check three things: that the courier tracking shows delivery in New Delhi, that your APS portal status has changed since registration, and that you are looking at the email address you registered with, since that is where the certificate goes.
A cause you can act on: "non-support"
The APS FAQ describes a status called "non-support". It means that the relevant school, board or university has not provided the information APS India needs to complete the verification. APS can only issue a certificate once the institution confirms the authenticity of your academic records through an official channel.
This is a delay you may be able to act on yourself. The FAQ says you may contact your institution and ask it to respond to APS India, and it adds that emails from private or non-institutional accounts such as Gmail or Yahoo cannot replace official institutional confirmation. The leaflet makes the same point in advance: tell your school and college that you have applied, because they may receive a query, and that they must reply from an official email address.
What to ask your college or school
- Go to the examination or registrar's office in person if you can; an email to a general inbox is easy to miss.
- Give your full name as on your marksheets, your roll or enrolment number, programme and years of study.
- Ask whether an email from APS India (Academic Evaluation Centre, German Embassy) has arrived, and ask them to reply to it from the institution's official email address.
- If your school issued the Class X or XII documents through a board, ask which office answers verification queries for that board.
Our advice. APS India does not ask applicants to forward replies themselves; the confirmation must come from the institution.
Other reasons a file waits
| Situation | What APS says | What to do |
|---|---|---|
| Something is missing or incorrect | Only complete applications are processed; incorrect information invalidates the form; APS may request additional documents | Watch your email and portal; send a requested document exactly as APS instructs — by courier, or by email if APS asks — with your registration number |
| Fee paid by bank transfer | The registration page: manually wiring the fee will lengthen the verification process | Keep the transfer receipt; there is nothing to speed up, which is why online payment is better |
| dMAT applies, certificate not yet submitted | APS may start verifying, but can issue the APS certificate only after the dMAT certificate is submitted and checked | Download the dMAT certificate from the g.a.s.t. portal as soon as it is published and send it to APS |
| Peak season | The FAQ says volume affects processing; a 2022 notice said times had increased drastically | Plan earlier next time; for now, protect your university deadline (below) |
When APS may refuse a certificate
APS does not issue a certificate to everyone who applies. The rules below are the ones APS India publishes. Some can be checked before you pay the non-refundable fee; others arise only during verification.
Published reasons a certificate may not be issued
- Recognition. The FAQ says that if the higher education institution or qualification is not recognised for access to German higher education, APS India may not be able to issue a positive certificate. APS News, on Indian private universities: those rated "H+/-" or "H-" in anabin cannot be recognised, and their students can therefore not be issued an APS certificate. A dMAT does not change that.
- Distance or online degrees. These may be considered only if the awarding university and the specific programme were recognised by the competent Indian authority for the period of study, and some disciplines may not be accepted in distance or online mode (FAQ).
- Verification never completed. If the institution never confirms your records through an official channel, APS cannot issue the certificate (FAQ, "non-support").
- Irregular documents. If fake, altered or irregular documents are submitted, APS may refuse the application, exclude the applicant from current and future procedures, and pass serious cases to German authorities (FAQ).
The fee is not refunded in any of these cases. The FAQ says the APS processing fee is non-refundable once paid, regardless of the outcome. That is the strongest reason to check anabin for your institution and degree before you register, and to send a complete file the first time.
Where other pages get this wrong
A good dMAT score does not rescue a degree APS cannot recognise.
Commonly published instead: Some advice suggests that a strong dMAT result can make up for a weak or unrecognised institution.
The APS dMAT page says a dMAT certificate cannot compensate for missing formal recognition of an institution or degree, and taking it does not make a degree from an H+/- or H- institution eligible.
Getting a slow file moving
Work through these in order. They are our steps, built on what APS India says causes delays.

Contacting APS: the right channel
The FAQ says APS India cannot provide individual status updates for every pending application and will contact you directly if it needs more information. A 2022 notice was blunter: basic status queries will not be answered, and questions should go through the contact form on aps-india.de. Repeated emails and large attachments can even trigger the mail provider's automatic ban, according to the same notice.
Write only when you have a specific problem APS can act on: your college says it never received a query, two documents spell your name differently, or you were asked for a document and want to confirm it arrived. Use the contact form, put your registration number first, and keep it to a few lines.
Our template: a message for a specific problem
Subject: APS application [registration number] — [the specific problem, e.g. college confirms no query received]
Dear APS India team, my documents were delivered on [date] (courier [name], tracking [number]). [One or two sentences describing the specific issue and what you have already done, e.g. "My college examination office tells me it has not received a verification email; its official address is ..."]. [Name, registration number, registered email].
ProSyllabus template, not an APS form. Send it through the contact form on aps-india.de, once.
Mistakes on the certificate, and other after-issue problems
APS's DigZert leaflet (Sept 2024) answers the problems that come up after the certificate is issued.
| Problem | Official answer (DigZert leaflet) |
|---|---|
| A spelling or other mistake on the digital certificate | Email info@aps-india.de with "DigZert Mistake" in the subject; APS will issue a new certificate if there is an error |
| Certificate email never arrived | It goes to the email given at registration; APS cannot change the email address once the account is created |
| Passport number changed after the certificate | Book the VFS appointment with the old passport number from your APS form and carry both passports |
| Signature not shown when the PDF opens | Open it in the latest Acrobat Reader or digiSeal Reader; a browser will not show the signature |
| A PDF reader warns about the signature | APS News (2026): some certificates from a seal-update period show technical warnings; universities, uni-assist, VFS and visa sections may continue to accept valid certificates |
Protect your university deadline while you wait
If your certificate may not arrive in time, write to your university before its deadline, not after. Each university sets its own rules, and uni-assist says your online form and complete documents must be in My assist before the deadline. Whether a university accepts the APS certificate later is specific to the university and programme, so confirm it in writing.
Our template: to the admissions office
Subject: [Programme], [intake] — APS certificate in progress
Dear Admissions Office, I applied for my APS certificate on [date]; my documents were delivered to APS India on [date] (tracking [number]). Can I submit my application by your deadline of [date] and send the APS certificate when it is issued, or should I apply for the next intake? [Name, applicant number].
ProSyllabus template. Ask, never assume: the answer differs by university and programme.
Do it in one evening
The kit's page 6 has these templates ready to fill, plus a reply for when APS asks for more documents; page 7 is a tracker so you can see at a glance where the file is.
The free APS planner counts back from your university deadline to a target courier date. The APS Certificate Kit is seven printable pages built on the June 2026 leaflet: the checklist by degree, the dMAT rule, a deadline plan worked for three cases, five templates and a tracker. Page 1 is free to read.
Frequently asked questions
Why is my APS certificate taking so long?
APS India says processing time depends on the number of applications and on how quickly schools, boards and universities answer its verification queries. An unanswered query from your institution, shown as "non-support", is the most common cause you can act on.
What does non-support mean in APS?
Your school, board or university has not given APS India the information it needs. APS can issue the certificate only after the institution confirms your records through an official channel; ask it to reply from its official email address.
Can APS reject my application?
APS may be unable to issue a positive certificate if your institution or qualification is not recognised for access to German higher education, and it may refuse applications with fake or altered documents. The fee is non-refundable regardless of the outcome.
How do I contact APS India about my application?
Use the contact form on aps-india.de for a specific problem, with your registration number. APS says it cannot give individual status updates and will contact you if anything is needed.
There is a mistake on my APS certificate. What do I do?
APS's DigZert leaflet says to email info@aps-india.de with "DigZert Mistake" in the subject; APS will issue a new certificate if there is an error.
My university deadline is close and APS has not finished. What now?
Write to the university before its deadline and ask whether you can apply with the APS certificate to follow or should apply for the next intake. Rules differ by university.
